EC Download, Application Status and Correction: How to Track and Fix Errors
Last verified 28 Oct 2026 against the Kerala Registration Department's EC SOP (pearl.registration.kerala.gov.in), the Kaveri 2.0 portal FAQ, IGR Odisha's online EC procedure, TNREGINET, the AP EC search page (registration.ec.ap.gov.in), registration.telangana.gov.in, igrsup.gov.in, the Assam Sewa Setu service page, the Delhi Revenue Department, the gARVI EC help file and the Uttarakhand Stamps and Registration Department's EC flow guide.
Most states now deliver the EC as a digitally signed PDF that you download from the same portal where you applied, after an SMS or email says it is ready. You track the application with the number the portal gives you on submission. If the EC has a wrong entry, the fix depends on where the mistake sits: a mistake in the deed needs a registered rectification deed, while a mistake in the EC index needs a written request to the Sub-Registrar Office (SRO).

How do I download my EC online?
Kerala
The Registration Department's EC SOP gives the sequence:
- Apply on PEARL under Certificates → Application for Encumbrance Certificate.
- You get an SMS with a transaction ID when you submit.
- Two clerks search separately. The office matches both searches before it generates the EC.
- The Sub-Registrar, Superintendent or Head Clerk applies a digital signature.
- You get an SMS. Open Application Status/Download and click the download link.
The SOP sets a minimum of 3 working days for digitised periods and 14 working days for non-digitised periods. You choose Malayalam or English when you apply. The department lists a help desk on WhatsApp: 854 7344357. See our Kerala EC guide.
Karnataka
The Kaveri 2.0 FAQ says that after payment, the EC downloads from the citizen login. The portal's notice text says the signed EC is also uploaded to DigiLocker. The FAQ says you must e-sign the EC application before you submit it to the Sub-Registrar. See our Karnataka EC guide.
Odisha
IGR Odisha's procedure: you pay through the Treasury gateway and the site generates a money receipt. The Head Clerk verifies the application and forwards it to the DSR or SR. After the DSR or SR approves and signs it digitally, you get a message to view and download the EC from your dashboard. See our Odisha EC guide.
Tamil Nadu, Andhra Pradesh and Gujarat
- Tamil Nadu: the TNREGINET search form asks for your name and email. It says "Encumbrance Certificate will be sent to the provided e-mail Id." See our Tamil Nadu EC guide.
- Andhra Pradesh: "EC For Information Only" shows on screen. The page says the online search and the SRO certificate use the same data, but an ink-signed certificate must come from the SRO. A signed EC is a separate login service. See our AP EC guide.
- Gujarat: the gARVI help file says you pay the fee online, then print the EC report. Certified ECs come through IORA. See our Gujarat EC guide.
Telangana
Telangana's Citizen's Charter sets 1 hour for an EC from computer records and 24 hours from manual records at the office. ECs are issued by MeeSeva centres and by Sub-Registrar and District Registrar offices. For help, call the toll-free line 1800 599 4788 or send a WhatsApp message to 82476 19983. See our Telangana EC guide.
How do I check my EC application status?
| State | How to track | Delivery time stated |
|---|---|---|
| Kerala | Transaction ID → Application Status/Download | Min. 3 working days (digitised) · 14 (non-digitised) |
| Uttar Pradesh | IGRSUP certificate receipt/verification | Urgent, receipt before 12 noon: 3rd working day · urgent, after noon: 4th · ordinary: 7th (collect 4–5 pm) |
| Assam (NEC) | Reference number on the acknowledgment slip | 15 days |
| Delhi (Non-Encumbrance) | Find Application Status on revenue.delhi.gov.in | 21 days |
| Telangana (office) | SRO / MeeSeva receipt | 1 hour (computer) · 24 hours (manual) |
| Uttarakhand | EC login → pending payment and "view application" by EC ID; the Sub-Registrar uploads the final EC to your dashboard | Not stated |
If your status sits still past the stated time, call the SRO named on your receipt. Keep the transaction or reference number ready. See our UP EC guide.
Why was my EC application returned or held?
The portals list these reasons:
- Details are wrong or do not match. Kerala's SOP says the office sends an SMS asking for more information if the details are wrong or mismatch.
- More owners found. Kerala asks you by SMS or on the portal to pay an additional fee if the search finds more ownership.
- A name in the wrong script. Kaveri 2.0 says names in languages other than Kannada or English are sent back for correction.
- Discrepancies in the upload. Assam's Sewa Setu says you must correct the application or submit a fresh one.
- You cannot edit after submitting. Kerala's SOP says a submitted application "cannot be edited". Check every field before you submit.
How do I correct an error in my EC?
First find where the mistake is. Compare the EC entry with a certified copy of the deed it lists.
| Where the mistake is | What it looks like | Route |
|---|---|---|
| In the deed itself | Wrong survey number, extent, boundary or name in the registered deed | The parties to the deed usually execute and register a rectification deed. Ask a lawyer to draft it. Telangana's Table of Fees charges a ₹2,000 registration fee for a rectification, ratification or cancellation deed |
| In the EC index, not the deed | The deed is correct but the EC shows a different number or name, or leaves the deed out | Write to the SRO where the deed was registered. Attach a certified copy of the deed and the EC. If the SRO does not respond, you can take it up with the District Registrar (practical step, not a published rule) |
| In your application | You entered a wrong survey, door or document number | Apply again with the right details. Pay again |
| Missing years | The EC skips a period | The online data may start late (AP from 1983, Karnataka from 2004). Apply at the SRO for those years |
Two official notes help here. AP's EC page says original records prevail over the online data in any conflict. Telangana's FAQ says that on payment of the prescribed fee, you may ask the Sub-Registrar to let you verify the records personally. Use these to check the register before you assume the deed is wrong.
Can I verify an EC someone gave me?
Pull your own EC from the official portal for the same property and period, and compare it line by line. Do not rely on a PDF or printout from the seller or an agent. Kerala's PEARL has a Verification option under Certificates, and IGRSUP has a certificate receipt/verification option. Read the result with our how to read an encumbrance certificate guide.
Red flags at download time
- The EC is for a different survey subdivision or door number than your sale agreement.
- The period does not match what your bank or lawyer asked for.
- The latest claimant is not the seller. Stop and ask why.
- A mortgage has no matching release. See EC shows an old mortgage never cancelled.
- A blank year. It may be genuine or a missing record. See EC gap years.
A correct EC still lists only registered documents. Read why a clean EC is not enough.
Frequently asked questions
How do I download my encumbrance certificate?
Log in to the portal where you applied and open the status or download section after the SMS arrives. Kerala uses Application Status/Download, and Karnataka and Odisha use the citizen dashboard.
How do I check my EC application status in Kerala?
Use the transaction ID from your submission SMS on PEARL's Application Status/Download page. The SOP's minimum is 3 working days for digitised periods.
How long does a non-encumbrance certificate take in Assam and Delhi?
Assam's Sewa Setu states 15 days. Delhi's Revenue Department states 21 days.
Can I edit my EC application after submitting it?
Not in Kerala: the SOP says a submitted application cannot be edited. Apply again if the details are wrong.
Can I get an EC correction online?
None of the portals we checked offered an online EC correction form. Write to the SRO with a certified copy of the deed. If the deed itself is wrong, register a rectification deed.
Is a downloaded EC valid for a bank?
Ask the bank first. AP's EC page, for example, says an ink-signed certificate must come from the SRO.
LegiScore checks the EC against the title deeds in its title search and legal opinion reports on legiscore.in.
